Overview

Reporting to the Associate Director Gift Records, the Data Management Support position primary function is to provide support to the Office of Alumni and Donor Records in receiving, recording and legally acknowledging charitable contributions to the University.

Two positions available



Responsibilities

Process Management:

  • Receives mail, opens, sorts, researches donor information, codes restricted and split gifts (including non-gifts) and determines allocation.
  • Reviews restricted and split gifts (including non-gifts) entries and acknowledgments for accuracy, donor intent, IRS and CAE compliance, Planned Giving and Bequest recording guidelines, purpose code assignments and adjusts entries prior to final processing.
  • Assists in the testing and development of new products, enhancements and process improvements as they relate to gift processing functionality.

Gift Processing:

  • Enters new gift, pledges, matching gifts, trust income, ORPA, payroll deductions, and pledge payments of all types including cash, credit cards, securities, and gifts-in-kind from all sources.
  • Runs standard gift and pledge reports for gift processing.
  • Reconciles daily transactions against multiple reports.
  • Participates in daily gift processing rotations for online credit card processing, acknowledgment production, and deposits to the Cashier.
  • Verifies gift acknowledgment letters for donors.
  • Request new donor records and changes to existing records.

Special Projects:

  • Assists in the entry preparation for Gifts to Princeton.
  • Participates in Alumni Record and Gift Records cross training initiatives.
  • Other related tasks as assigned.


Qualifications

  • High School diploma required.
  • Advanced knowledge and full spectrum of gift recording activities, policies and procedures.
  • Advanced analytical, interpersonal and statistical skills.
  • Ability to exercise independent research and judgment.
  • Knowledge of or ability to quickly learn OnBase Document Imaging system for document retrieval.
  • In depth knowledge and use of Excel for advanced spreadsheets.
  • In depth knowledge and use of Access for report generation.
  • Advanced knowledge and use of Stripes to enter gifts, generate standard reports, perform inquires and verify information.
  • Good oral and written communication skills to respond to inquiries.
  • Strong organizational and problem solving skills.
  • Accuracy, close attention to detail, a change-friendly attitude, strong work ethic and discretion in dealing with confidential information.
