Job Summary

The Coordinator of Academics and Program Development, Rome campus is central to these efforts.

The Coordinator of Academics and Program Development manages all local aspects of running short-term programs for the St. John's study abroad site in Rome and provides support to all faculty and students taking part in the St. John's programs on the Rome campus, focusing on short-term program logistics and faculty assistance. The coordinator reports to the Director of Rome Programs.

Essential Functions

Programming and Events

  • Customize itineraries for short-term programs and departmental semester long programming.

  • Coordinate all aspects of winter and summer intersession programs: class scheduling, guest lectures, excursion planning, transportation, check-in and check-out logistics, student and faculty orientation, student, and faculty housing.

  • Administer short-term program budgets.

  • Work with the Director of Rome Programs and the AVP Europe Program in the development and implementation of new academic initiatives.

  • Develop viable academic internship programs by building and maintaining relationships with local organizations.

  • Support the Coordinator of Student Life in their programmatic initiatives like through collaborating to organize a rich and complementary event and excursions program or co-leading/leading some of the local excursions.

  • Attend occasional evening and weekend events or trips as assigned by the Director of Rome Programs.

  • Plan and deliver the Cultural Mentoring Program to students in Rome in coordination with the Residence Director.

  • Manage New York faculty for all programming in Rome, arrange for local accommodation and transportation, and assist with local needs such as campus lockers, phones, and special assistance.

  • Support the Student Life Coordinator in managing the SJURome.com website and creating and posting content for social media.

Student Affairs Administration

  • Work to ensure the health, safety, and general welfare of all students in the St. John's program in keeping with protocols and guidelines established by St. John's.

  • Serve as conduct administrator for the Rome campus.

  • Track and Manage Incident Report input into Banner for Rome, Paris, and Limerick.

  • Manage the Permesso di Soggiorno and Dichiarazione di Presenza processes for US Faculty and students teaching/studying in Rome and assist with renewals when needed.

  • Maintain and provide to the Assistant Vice President Europe Programs appropriate record-keeping of all campus residents and Rome campus students as part of fulfilling several Italian regulations on immigration and education.

  • Manage and track students' attendance to orientation and mandatory activities and enforce OIE related sanctions.

  • Send travel advisory emails to all students in European Programs.

  • Serve as part of a 24/7 on-call student emergency response rotation and coordinate responses to emergencies consistent with SJU's emergency response protocols as needed.

General Administrative Tasks

  • Organize and manage mailing and shipping for administrative purposes.

  • Perform other related duties as requested by the Office of International Education in NY, Assistant Vice President Europe Programs, or Director of Rome Programs.

  • Participate in daily administrative activities in coordination with Rome colleagues to support the smooth functioning of Rome programs and attend student meetings along with other Rome staff.

Work Environment

This position operates in a professional office environment and is required to use standard office equipment such as personal computers, printers, copiers, multimedia equipment, etc.

Physical Demands

No unusual physical demands are required other than occasional walking deriving from field trips/site visits with students.

Position Type/Expected Hours of Work

Full-time position of 38 hours per week, as per Italian CBA. Office hours are Monday to Friday, with occasional evening/weekend/public holiday work due to programmatic needs or emergencies.

Travel

Field trips within Italy and travel to the New York and Paris campuses will be required.

Required Education and Experience

  • Bachelor's degree in education or a related field

  • 1-2 years' experience in U.S. higher education and/or study abroad field


Preferred Education and Experience

  • Master's in education, educational counseling, international education, or a related field

  • 3-5 years' experience in U.S. higher education and/or study abroad field

  • Experience with Banner and TerraDotta

  • Experience with educational systems in both Italy and the US.


Additional Eligibility Qualifications

  • Authorized to work in the Schengen area.

  • Fluent in Italian and English.
